    Why Your Estimates Go Cold and a 5 Step Follow Up to Win Them Back

    You drove out, measured, and sent a clean estimate. Then nothing. No reply, no call back, no answer.

    A ghosted estimate is not always a lost job. Most homeowners go quiet for simple reasons. A short follow up plan wins many of them back, and you already paid to get the lead.

    Why homeowners go quiet

    • Price shock. The number was higher than expected, and nobody explained what the price covers.
    • They are comparing quotes. They asked two or three shops and have not decided.
    • Life got busy. Kids, work, and bills pushed the project down the list.
    • Nobody followed up. Many contractors send one estimate and never reach out again. The shop who follows up often wins by default.

    The 5 step follow up

    Day 0: Send the estimate and a text.
    “Hi [Name], this is [Your Name] with [Company]. I just emailed your estimate for [job]. Any questions, text me here.”

    Day 1: Check it landed.
    “Hi [Name], did the estimate come through OK? Happy to walk through any line on a quick call.”

    Day 3: Call.
    Ask one question: “Where are you at on the project?” Then listen. Price, timing, or trust will come up. Answer the real concern.

    Day 7: Send proof.
    Text a photo of a similar finished job or a recent review. “We finished a [similar job] in [nearby area] last week. Here is how it turned out.”

    Day 14: Close the file.
    “Hi [Name], I have not heard back so I will close out your estimate for now. If the project is still on your list, reply here and I will hold your spot.”

    The last message gets more replies than any other. People respond when something is about to go away.

    Make the follow up automatic

    Owners forget follow ups when the schedule gets full. Put the sequence in a CRM so every estimate triggers the texts and reminders on its own. A lead pipeline shows every open estimate in one view, sends the texts on schedule, and flags who needs a call today.

    Track one number

    Measure your estimate close rate: jobs won divided by estimates sent. Check the number every month. If your close rate sits low, fix follow up before you spend another dollar on ads. More leads will not fix a leaky process.
